We respect your privacy and want you to understand how and why we collect, use, and protect your personal information. This Privacy Notice explains in plain English what we do with your data, why we do it, and what rights you have under UK data protection laws.  


1. Who we are and how to contact us We are Projekt Rising Ltd, a company registered in England and Wales. Our head office is at:

We are the “data controller” for the personal information you provide to us. This means we decide how and why your information is used. If we ever use a “data processor” (a company that processes data on our behalf), we make sure they keep your information safe and only use it as we instruct. We do not currently have a formal Data Protection Officer, but our Managing Director is responsible for ensuring we comply with the law.  


2. What personal information we collect We only collect the information we genuinely need in order to provide our services or to respond to you. This may include: 

  • Contact details – such as your name, email address, phone number, and job title. 

  • Work information – such as the organisation you work for. 

  • Technical information – such as your IP address, device type, and browser details when you visit our website. 

  • Information you give us – such as the content of messages you send via our contact form or email.

  • Data from Google APIs – but only if you choose to connect our services to your Google account. 

We do not collect more data than we need, and we do not collect any “special category” data (for example, health or religious information) unless it’s absolutely necessary and you have given clear consent.  


3. Why we collect your information and our legal reasons for doing so We process your information for the following purposes: 

  • To respond to your enquiries – If you contact us, we use your details to reply to you. 

  • To deliver our services – We need some personal data to set up, manage, and maintain your account or service. 

  • To improve our services – We may analyse how people use our website to make it more user-friendly. To send you updates – Only if you have agreed to receive them. Under the UK GDPR, we must have a legal reason (called a “lawful basis”) to use your personal data. The bases we rely on are: Legitimate interests – where it is reasonable for us to use your data in ways you would expect, and it has a minimal impact on your privacy. For example, replying to your enquiry. 

  • Consent – where you have given clear permission for us to use your data for a specific purpose, such as connecting to Google APIs. You can withdraw your consent at any time.  


4. Who we share your information with We sometimes share your personal data with trusted third-party providers who help us deliver our services. This may include: 

  • Microsoft – for email and file storage. 

  • HubSpot – for customer relationship management and chatbot functions. 

  • Framer – for website hosting. 

  • Google – for API-based features, if you connect them. 

These companies can only use your information to provide the agreed services to us. They must keep your data secure and cannot use it for their own purposes. 


If any of these companies are based outside the UK or European Economic Area (EEA), we make sure they protect your information to UK standards—using safeguards such as Standard Contractual Clauses or relying on the UK–US Data Bridge.  


5. International transfers of your data If your information is transferred outside the UK or EEA, we take extra steps to make sure it is just as safe as it would be here. This might involve: 

  • Using contracts approved by the UK’s Information Commissioner’s Office. 

  • Making sure the country has been recognised as having strong data protection laws. 

  • You can contact us if you would like more details about these safeguards.  


6. How long we keep your information We only keep your personal data for as long as we need it to: 

  • Respond to your enquiry. 

  • Provide our services to you. 

  • Meet legal or regulatory requirements. 

When we no longer need your data, we securely delete or anonymise it. 
For example: 

  • General enquiries – deleted after 12 months. 

  • Service user data – kept for the life of the account plus 6 years to meet business and legal requirements.  


7. Your rights Under UK data protection law, you have the right to: 

  • Access your data – to see what information we hold about you. 

  • Correct your data – if it is wrong or incomplete. Have your data deleted – in certain circumstances (“the right to be forgotten”). 

  • Restrict how we use your data – for example, while we check its accuracy. 

  • Object to how we use your data – if we are relying on legitimate interests. 

  • Get your data in a portable format – to share it with another service. 

If you wish to exercise any of these rights, please contact us. We will respond within one month. 


You also have the right to complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we have handled your data.

8. If you do not provide your personal data In some cases, we may need certain information to provide our service. If you do not give us the information we need, we may not be able to respond to your enquiry or deliver the service you have requested.  


9. Automated decision-making and profiling We do not use automated systems to make decisions about you that have a legal or significant effect. We also do not carry out profiling for marketing purposes without your consent.  


10. How we keep your data secure We use appropriate technical and organisational measures to keep your data safe, including: 

  • Secure servers and encrypted storage. 

  • Regular security updates. 

  • Access controls so only authorised staff can see your information. 

If there is ever a data breach that risks your rights and freedoms, we will inform both you and the ICO without undue delay. 

 

11. Updates to this notice 

We may update this Privacy Notice from time to time to reflect changes in the law or in how we handle personal data. The “last updated” date at the top of the page will change accordingly. If the changes are significant, we will tell you directly (for example, by email).
